Microsoft Exchange


Microsoft Exchange is pretty much the de facto emailing system of choice for businesses due to its power and ease of management. Everything is centrally located making sharing of Emails, Calendars, Contacts and Tasks very simple indeed.

Exchange runs on a server which you can either purchase or have hosted for you for a monthly fee.


Hosted Exchange


Hosted Exchange is the same as Microsoft Exchange shown above. The difference is, the service is hosted by a service provider and you pay a monthly fee based upon the number of users (mailboxes) and the amount of space used. You don't have to buy your own server so the intitial outlay is much less. Over time, however, it could prove to be more expensive. 

For PC and MAC users, Outlook will be necessary but iPhone, iPad and Android users have an email system built in which can accept email from an Exchange Server.

POP & IMAP

POP and IMAP emails are the most common form of email systems and are used by home users and most non-business users.

Emails are hosted by a service provider such as Gmail, Hotmail, BT Mail and a host of other providers. You can access your emails through a web browser or have your emails downloaded to your PC, Laptop, Phone or Tablet by using email programmes such as Microsoft Outlook, Microsoft Live Mail, Outlook Express, Thunderbird, Apple's Mail programme and a number of other applications.

POP is not very good for sharing emails. It is possible for more than one user to see the same emails that are being sent to you, but not possible for all users to see what has been sent out.

EXAMPLE: 
If you set up your PC and phone to use POP, you would see the emails sent to you on your phone and PC but if you sent a reply from your PC, you wouldn't see your reply on your phone (unless you sent yourself a copy)

 

IMAP is better because it allows multiple users to see both incoming and outgoing emails. It's a cheap solution for allowing multiple users to share the same mailbox or email address whilst keeping a tab on who did what and when. 


EXAMPLE: If you set up your PC and phone to use IMAP, you would see the emails sent to you on your phone and PC but if you sent a reply from your PC, you would also see your reply on your phone.

 

CASE STUDY

 

Customer for a company of around 25 users needed an email system that provided users with their own email address based around the company's domain name.
The director's secretary needed to be able to see the director's calendar as well as add appointments on the director's behalf.

The company needed a central customer contacts list accessible to all users.
Some staff were part-time and so needed other users to have access to their mailbox and reply on their behalf.

There was also the need to have a couple of generic email addresses that most, but not all, users could view.

In this instance, it made sense to go with an Exchange Server. The cost of a hosted exchange system soon became more expensive than buying an exchange server outright.

With Exchange, they were able to have their domain name handle all their emails and each user assigned their own personal email address. Calendars were shared with whomever they wanted and appropriate permissions were assigned - some could read only and others could read and write. The director's secretary could make appointments on behalf of the director.

A central contacts list was created and everyone was given access to that list and Public Folders were created which handled the generic email addresses. Anyone needing to see those emails was given the appropriate permissions and the public folders containg those emails appeared within their Outlook without any intervention from the user or the need to set it up on their PC.

Everything was controlled at the server and was transparent to the end user.
